How to Handle Club Subs Without the Awkward Conversations

Chasing subs payments is one of the most uncomfortable parts of running a grassroots club. Here's how to set up a system that makes it easier for everyone.

Nobody becomes a football club manager because they love chasing payments. But unpaid subs are one of the biggest operational headaches at grassroots level.

Why subs are hard to collect

The awkwardness is structural. You know the family. You see them every week. Asking for money feels personal. So you leave it another week. Then the amount has grown and the conversation is even harder.

The fix: front-load the expectation

At the start of each season, communicate clearly: the amount, the payment method, the due date, and what happens if payment is missed. Put it in writing. Keep a record.

Three things that help

1. One payment method — Not cash and bank transfer and PayPal. One. Fewer options means fewer excuses.
2. Reminders before the due date — A reminder two days before is a service. A chase three weeks after is a confrontation.
3. A visible payment log — It's not you chasing them — it's the system.
